Welcome and Settings


Data Provider Credentials

Certain Providers require your credentials to grant access to their data. You can always change these credentials by navigating to Settings > Data Source Credentials.

General Settings

Select how you would like DataMaster to pull your properties. By selecting Use MLS to get Public Records, DataMaster will search public records using MLS information. The opposite is true if you choose Use Public Records To Get MLS.

Additionally, there is an option to prioritize where DataMaster pulls properties when importing a file.

By selecting Use file to get MLS, DataMaster will use the export file to import properties from the MLS, and Public Records.

You can also turn off picture import, by unchecking Get Photos From MLS. To automatically select deeds, select Skip Deed Selection.

Market Analysis Settings

To customize the Market Analysis section, select your preference for calculating the Overall Trend.

By selecting one of the four options, DataMaster will calculate the overall trend according to your choice.

Under the Graph Settings section, you can customize the graphs in your report. Whether you are using a Column, Line, or Scatter graph you can choose the colors of the data series by selecting one of the drop-down boxes and picking a color.

Data Source Credentials

Data source credentials are used to authenticate the appraiser with their specific data sources.

Choose the MLS file you would like to import

Verify in the box below that you have selected the correct MLS for export file. Then click open and choose the file that you want in your report. Click open again and your file will load.

Select Addenda

Select any additional addenda you would like to include in your report.

File Association

Clicking one of the buttons below will open up the properties window for the selected file type. You can then click change to modify the default program you use to open that file type.

Subject


Review and Edit Subject Details

You can add or edit information by right-clicking on the data field. You’ll see a dropdown menu and you can select Format, Data Sources, Priority or access the UAD formatting guide for that field. 

Deeds

Click the Skip Deeds button to proceed to the next step without selecting deeds.

To select the deeds, select the current sale (most recent transfer) by checking the box in the Transfer History Deed section. 

Next, select the prior sale or transfer by checking the box in the Prior Sale column.                  

DataMaster has also provided the MLS listing History. To include these in your report select the Get Listing History button. To automatically retrieve the listing history when pulling a property, select the Get Listing History Automatically checkbox.                             

Search for a property

You can search for the subject property using an MLS#,  APN#, or Subject Address. You can also search with a partial address using street name or number, state, and county. 

Select property from comparables

You can load your property information from any comparable that you have already loaded into the program. 

Enter key subject information

Enter the available subject information. DataMaster will attempt to find the property in the MLS/Public Records. Enter a valid address to enable proximity calculations for market conditions and comparable properties.

Advanced Formatting


Add constant value

A constant value is user-specified text that will remain the same at all times. This value can be numeric, text, or date.

Add operator

An operator is a function that allows you to perform different operations on elements, constant values, or on the result of a different operation. Operators are specific to the data types. For example, a DateDifference will only be applicable to those elements, or constant values, that are dates.  An example of how to use this is to choose Add as your operator when you want to add 2 things together.  Highlight Add, then click Add Operator.  Highlight the first plus sign, then click Add element.  Choose the first element from the dropdown list. Click Add Element. Highlight the second plus sign, then click Add element. Choose the second element from the dropdown list.  Click Add Element.  Then Save. This results in a recalculation combining the values you have chosen for every comp on this line item.

Add element

An element is the smallest unit of data (e.g. ListDate, AboveGradeSqft). Elements can be used on their own or inserted into an operator.

Format field

Customize the values displayed in the field. To format a field DataMaster has suggested an abbreviation for each Data Source value in the Display As column.

If you want a different value click in the field and change it, then save.  If the Count As field is set to Do Not Use, click on the dropdown arrow and change to an allowable option.

Numeric Describe

This formatting allows you to determine the text that follows the numeric element.

For example, if there is a 2 in the data element then the end result will show as the number 2 and the text you filled out in ‘If value is 2 or more’.

Customize field values

You can create your own custom comment text with calculated values. Simply start typing in the textbox and anywhere that you wish to add a calculated value click the Add Calculated Value button.

Setup extra lines

Enable and fill out the desired format options. First, add the label for the extra item by checking the Extra line item field label box and entering your desired label in the box. Second check the Use Custom extra line item data element. Click on Add Element and highlight the item you want to add. Click Select and then Save.


Set the priority order of data sources for each field

For each data field that has more than one available source of data, DataMaster gives you the choice of which of the data source has the best information. The position of priority of the data source can be changed by highlighting the data source and then using the Up and Down arrows to move that source into the desired position.

If the data source generally has undesirable information, then the user can highlight that source and then click on the Disable button.  To enable a source that has been disabled, simply highlight the source and click on the Enable button. To finalize your changes, click on the save button.

Customize the display of each field’s possible values

You can create your own custom comment text with calculated values. Simply start typing in the textbox and anywhere that you wish to add a calculated value, click the Add Calculated Value button.

Display formatting

Enable and fill out the desired format options. For example, to use “If blank replace with,” check the box and choose Use from the first dropdown box, then type your selected response (for example, None).  Then Save.  (“None” will now be displayed anytime that line item comes in blank from the MLS for the comps). 

Comparables


Data source priorities

Deeds

To skip this section select the Skip Deeds button to proceed to the next step.

Select the current sale (most recent transfer) by checking the box in the Transfer History Deed section.  Next, select the prior sale or transfer by checking the box in the Prior Sale column.

DataMaster has also provided the MLS listing History. To include these in your report select the Get Listing History button. To automatically retrieve the listing history when pulling a property, select the Get Listing History Automatically checkbox.

Discrepancy view

DataMaster detected data differences between data sources. Click the correct data source value or enter a value to resolve the discrepancy.


Select your comparable properties

Comparable properties can be reviewed, added, reordered, or removed in the comparable grid. Reorder properties by using the drop-down menu located at the top of each property.

Add a property by clicking on the plus (+) sign at the end of the data grid.

Remove a property by clicking on the X located at the top right corner of each property. Sale Verification deeds and prior sale deeds can be added to a property by clicking on the Deeds button located next to the comparables photo. Additional information can be added and/or edited in any field.

Right-clicking in a field allows you to customize the formatting of that field, view the data source comparison, reorder the prioritization, and/or review the UAD formatting guidelines.

Any discrepancies for a property can be reviewe by clicking on the yellow circle located next to the X on any property. When a discrepancy has been resolved, the yellow circle will turn green.

Market Analysis


Graphs

The graphs found on this page reflect the information found on the Market Analysis Report.

To add a graph click on Add Graph.

To remove a graph, click on the X in the top-right corner of the graph. (This will delete the graph from your workfile.) 

To send a graph to your report click on the Include in Report box.

You can change the style of the graphs by going to the Market Analysis tab in Settings.

Include Market Analysis

Use a data file that you exported from your MLS website and load the information into the DataMaster Market Analysis Report.

Review and edit market analysis property details

Editing the property details directly affects your market analysis report results.  Click any field which to highlight the line item. You can change any information, or you can delete the property; i.e., an outlier.

To delete, highlight the line and click the Delete button. 

The Save Changes button incorporates the changes that you made into the calculations for the report fields and updates the report.

The Undo Changes button restores all information to the state that it was in at the last time it was saved.

Review and edit the condo market analysis report

The Report Review page allows you to edit the information that DataMaster automatically entered into the grid boxes from your MLS file.

By changing the Effective Date (the current date is the default date), DataMaster will recalculate all if the information from the grid report with precision to the new date.

Select existing comment template

To select a comment for use, click the comment on the left side (in the available templates field) then click the Use Template button.

To create a custom comment click the Add button and the Create a Custom Comment box will open. You can edit or permanently delete comments.

DataMaster default comments can be deselected, but not deleted.

Create a custom comment

You can create a custom comment by typing in the textbox.

To add a calculated value:
  1. Click the Insert Calculated Value button (DataMaster will automatically fill any calculated values based on your market analysis.)
  2. Click Save
  3. Name your new custom template

Limited MLS

In this MLS, many of the properties are contained within your MLS’s back-end database, however, some are not. In the case we cannot find the property by searching through the back-end database, we will gather property information from the file you export from your MLS.

USPAP Sharing Guidelines

FAQ 55. DISCLOSING RESULTS OF APPRAISAL ASSIGNMENTS 
Question: I have been asked by my client’s business associate for information relating to an appraisal report I prepared for my client. Can I disclose the results of an appraisal assignment to parties other than the client?  
Response: You can, but only if you receive authorization from the client before sharing assignment results with the client’s associate. The Confidentiality section of the ETHICS RULE states, in part:  
An appraiser must protect the confidential nature of the appraiser-client relationship.  
An appraiser must not disclose: (1) confidential information or (2) assignment results to anyone other than: 
• the client; • parties specifically authorized by the client; • state appraiser regulatory agencies; • third parties as may be authorized by due process of law; or • a duly authorized professional peer review committee except when such disclosure to a committee would violate applicable law or regulation. (Bold added for emphasis.) 
FAQ 77. PHYSICAL CHARACTERISTICS OR ASSIGNMENT RESULTS – RESIDENTIAL REAL PROPERTY EXAMPLE 
Question: I am trying to distinguish between physical characteristics and assignment results in a residential appraisal assignment. Which of the following ten terms are physical characteristics and which are assignment results?
  1. Living area is 2,000 SF
  2. Property is in good condition
  3. The property has functional problems
  4. The improvements were constructed in 2005
  5. The carpet is new
  6. 2nd floor has 2 bedrooms, no baths
  7. Well landscaped
  8. Poor floor plan
  9. Carpet needs replacing
  10. Walls are painted pink, yellow, and purple

Response: Physical characteristics do not include an appraiser’s opinions. The items listed above shown as #1, 4, 5, 6 & 10 are examples of physical characteristics. 

Assignment results include an appraiser’s opinions. The items listed above shown as #2, 3, 7, 8 & 9 are examples of an appraiser’s opinions, and therefore, are assignment results. 

Physical Characteristics

Attributes of a property that are observable or measurable as a matter of fact, as distinguished from opinions and conclusions, which are the result of some level of judgment.

Assignment Results

 An appraiser’s opinions or conclusions, not limited to value, that were developed when performing an appraisal assignment, an appraisal review assignment, or a valuation service other than an appraisal or appraisal review. 

Comment: Physical characteristics are not assignment results.
